Department Definition

Workforce Operations (WKF) is responsible for the scoping, planning, processing, welfare and wellbeing of Expo staff and volunteers and provides support for the same to Functions with contractor staff in the lead up to and during event time.

Opportunity Responsibilities

The Coordinator, Volunteer Integration is key in supporting the seamless integration of ongoing requirements required between functions to support the Expo 2020 Volunteer Journey. Specifically, this role will be a focus on the integration between the Workforce Operations function and two other key functions – 1/ Volunteer Engagement, responsible for the implementation of the Expo 2020 Volunteer Programme strategy, including the attraction, engagement of experience of all volunteers, and the 2/ Workforce Support Centre, ensuring our volunteer workforce has a central point of contact to support in any queries or gaps in information that functions are not able to support with.

The Main responsibilities of the role include:

– Support in the ongoing analysis and issue resolution of key steps on the Expo 2020 Volunteer Journey and as a key contact for Workforce Operations, liaise cross-functionally to ensure timely, effective solutions, prompt escalation and dissemination of information as/when required;

– Support key functions with day-to-day operational information which they may require to process their volunteer related requirements;

– Educate on and uphold all policies and procedures that relate to Workforce Operations at event time and support with the requirements of the Workforce Contact Centre, including responding to emails within central inboxes, as well as conducting outbound call campaigns;

– Communicate regularly and concisely with the Manager, Volunteer Integration to ensure free-flowing 2-way communication, escalating challenges and/or risks for prompt resolution;

– Draft, review and approve volunteer-related communications including emails, SMS, newsletters, campaign material and other requirements as they arise;

– Establish and maintain strong working relationships with all Functions, focusing in particular on those that have inter-related operations, to ensure smooth 2-way communication throughout event delivery; 

– Support the Workforce Services team in ensuring scheduling and rostering deadlines are met across all Functions and on-the-ground adjustments are updated in a timely manner;

– Build and nurture cross-functional relationships and integration to ensure communication is free-flowing, issue resolution is efficient and operations are consistent through event time.

Skills

– 1+ years relevant experience, as well as:

– A Bachelor’s degree within a relevant field;

– Able to balance the large-scale Function operation while understanding the strategic, detail-oriented planning required to deliver it;

– Advanced MS Office (Excel in particular);

– Ability to work effectively in a new environment;

– Experience working on previous international, mega-events;

– Previous experience working with volunteers.

– Bilingual (English/Arabic).
