Description

The Office Associate coordinates and leads the Office's office- and management support functions. The Office Associate ensures that information and office work flows smoothly by organizing and prioritizing work. This job requires a deep understanding and interpretation of office policies and procedures. The incumbent will provide procedural guidance for managers and employees in the department/location.

Supervision received/Exercised

The Office Associate reports directly to the Subregional Coordinator of SNG. The Office Associate works autonomously and shows a high level of initiative and independent judgement. The incumbent receives supervision that is focused on service delivery. The incumbent organizes and supervises office support staff, and gives guidance and training.

 

Working Relationships

The incumbent has a broad range of contacts with staff, managers and counterparts within and outside the Organization. The work relations with the Organization may be at a very high organizational level. This requires excellent communication skills and experience in handling issues.

 

Key Functions/Results

  • Manage and analyze a large volume of complicated correspondence and documentation. Many of it is confidential and sensitive.
  • Staff at all levels of the organization unit should be provided with information and guidance; they must understand intent and deadlines.
  • Arrange appointments, duty travels, keep a supervisor's schedule and receive visitors.
  • Assist in the organization of high-level meetings and ensure that invitations are sent out. Take notes, prepare minutes and take action on any issues.
  • Coordinate the work of other office support staff. Coordinate activities across the division including deadlines and other requests.
  • Set up internal procedures and tracking systems to track correspondence and documents. Verify that work conforms with corporate standards. Monitor work progress.
  • Answer written questions and prepare responses to non-routine queries; coordinate responses to sensitive inquiries on behalf of the supervisor
  • Monitor the preparation of correspondence and reports; examine documents and make any necessary changes according to standard practices; conduct research; prepare briefing materials; and provide informal translations into other official languages.
  • Assess the office's ongoing support needs, adjust service provision to meet changing requirements, and resolve operational problems when necessary.
  • Assure the initiation of various transactions within the company's computerized administrative system;
  • Other duties may be required

 

Work Impact

The smooth and efficient operation of the Office is directly affected by the work of the incumbent. He/she is responsible for providing office support services to ensure the Division's success.

CANDIDATES WILL BEEN VERIFIED AGAINST THE FOLLOWING

Minimum Requirements

Secondary School Education
Experience: 5 years of relevant experience with office support and management
Languages Working Knowledge (proficient – level C) of English or Arabic
IT Skills Excellent knowledge of Microsoft Office, Internet and office technology equipment.

Local Residency: Staff in the General Service are hired locally. Candidates must be citizens of the country where they will be serving, or have a valid visa/work permit. They also need to live within walking distance from the duty station. "Commuting distance" refers to the distance staff can travel each day between their work place and their home.

  • Knowledge of FAO's corporate system and data base or other accounting modules or applications that are relevant to project budget management or accounting procedures would be considered assets.
