Description

The Front Office Host/Telephone Operator is responsible to process all outgoing and incoming calls efficiently and courteously.

What should I do?

 

The impressions made by our guests are created by the Front Office Host/Telephone Operator. Therefore, they must complete the following tasks to the highest standard:

 

  • All incoming and outgoing calls should be handled accurately and politely
  • Controls and records accurately wake up the calls
  • Pages guests in cooperation with the concerned departments
  • Assists guests in international calls and directory queries
  • When possible, calls guests by their names
  • When a Pages staff member is requested
  • Respect guest privacy principles
  • Assists guests with their requests or needs and reports any complaints to the Magic Supervisor
  • Report on logbook daily
  • Costs for a bill calling
  • Be aware of the local phone listings and frequently dialed numbers
  • Instructs Supervisor about defects in switchboard equipment
  • Responds promptly to guest questions and requests
  • Keeps a detailed record of the Hotel's fire, life, and safety systems
  • Maintain Hotel Information
  • Offer secretarial services to guests
  • Effective in the use of all business center equipment
  • Correctly update traffic sheets
  • Resolve complaints quickly and thoroughly follow up on the actions taken
  • Encourage in-house service and facilities
  • Upon request, update airline schedules and guide the guest
  • Coordinate the reservation of meeting rooms
  • All stationery requirements should be notified to the Supervisor in advance
  • Before you leave, ensure that your workplace is clean and tidy.
  • Logbook - Daily activities

Occupational Safety and Health Responsibilities

  • Demonstrate awareness of Hilton policies, and procedures, and ensure that all procedures are done safely and within Hilton guidelines
  • Know your property safety, fire and rescue procedures and how to safely operate the equipment.
  • Take immediate action to rectify a dangerous situation and inform supervisors about potential dangers
  • Hotel requirements require that you log security incidents and accidents.
