Role Overview

This role serves the primary purpose of supporting Finance and HR functions.

What you will do:

  • As required, provide administrative support and close collaboration with People & Finance leaders in Dubai
  • Assist with regular tasks such as invoicing, approval follow-up and payroll, issuing letters, preparation of end-of-service/pension contributions, maintaining employee files
  • Assist accountants in Dubai and Hong Kong to perform month-end duties to support the proper management of the MEA operating expenses base
  • Coordinate and organize the issuing of all access cards, parking spaces, building cards, etc. All staff involved
  • Respond to DIFC employees' ad hoc information requests
  • Work on visa-related matters such as renewals, staff and dependent visa applications, renewals, and medical paperwork
  • You must ensure timely payment of office rents, electricity, and telephone bills,
  • Prepare the Board/Conference Room in DIFC for out of Bupa Visitors and arrange for refreshments & food, if necessary
  • Coordination of travel arrangements / Visa and accommodation arrangements
  • Maintaining an annual BG DIFC calendar with key events and governance meetings, and keeping a register of attendees and absentees
  • To ensure the lowest cost, monitor office supplies and order when necessary.
  • Assist and receive visitors, and allow them to enter the DIFC building.

What you will bring:

  • Experience in office administration
  • Aspires to work in accounting/commerce, or is studying towards a certification in business.
  • Advanced proficiency in MS Office, mainly Outlook, Word Excel, PowerPoint and Excel
  • Speedy, high-quality administration.
  • Great attention to detail and multitasking ability.
  • Collaboration in a team environment.
  • Organized, flexible, and proactive
